How an account works

What goes in the file for each unit

We ask for these once. After that, every visit and every phone call starts from the file instead of from questions.

  • Address and unit number

So a crew goes to the right door, and the invoice goes with the right address.

  • System and age

Gas furnace, boiler, heat pump or central air, and roughly how old. A photo of the label is enough.

  • Filter size

Written once, so a tune-up leaves the right filter and nobody counts on a guess.

  • Thermostat

Where it is and what kind it is, which saves a call to the tenant.

  • How we get in

Tenant lets us in, lockbox, or a key at your office. Different by unit is fine.

  • Who we may call

You, a manager or a maintenance contact. We do not call a tenant about money.

Tenants

Tenants hear from us the day before, and from you first

The account runs on your authority, so a tenant is never asked to approve work.

We schedule visits through you and text the tenant a window the day before. If a tenant calls us, we find the address on your account and ask them to talk to you about repairs and cost. We work only on addresses a landlord has put on an account.

  • A text to the tenant the day before, with a time window

  • No repairs started on a tenant’s say-so

  • Invoices to you, per address

  • A written price for anything beyond the tune-up

From the first message to the first tune-ups

  1. 01

    Step 1: Day 1

You send the addresses, by form or by text.

  2. 02

    Step 2: Next business day

We reply with the rate sheet and what we still need.

  3. 03

    Step 3: Within the week

Your units go on file and you see the file.

  4. 04

    Step 4: September and October

First tune-ups, street by street, ahead of the cold.
